One business day
Written quotations and document requests are answered within one business day, Monday to Saturday, Hong Kong time. Anything received after 18:30 HKT is handled the next working morning.
If your question is not here
This page covers the 34 questions we are asked most often, not all of them. Send anything else to [email protected] or call +852 8201 8273 and it will be answered by the person who handles that product line.
Answers in writing
Where an answer depends on a document — a declaration, a test report, a set of terms — we will send the current version rather than summarise it. Document requests are handled on Downloads & Documentation.
Ordering & Quotations
How quotations are issued, how long they hold, and what we need from you to start.
Email the requirement to [email protected] or call +852 8201 8273 during Hong Kong office hours. Send the product name or SKU, the quantity, the target specification, any packaging or labelling requirement, the destination port and your preferred Incoterm. If you do not have a specification yet, a drawing, a photograph or a competitor part number is enough for us to start. You receive a written quotation with lead time and shipping options within one business day.
No. There is no minimum order requirement; the constraint is the MOQ of each catalogue line, which runs from 100 pcs for IoT sensor modules and HMI operator panels through 500–3,000 pcs for PCBA and GaN power adapters to 100,000 pcs for passive component kitting. Lines can be mixed freely in one shipment, so a first order can combine several modest quantities. Where you need less than the stated MOQ we quote a small-lot premium rather than turn the order down.
Quotations are valid for 30 days from the date of issue. If copper, aluminium, resin or memory prices move sharply inside that window, we tell you before production begins instead of adjusting the terms quietly. Under an annual supply agreement terms are held for 12 months against a defined review date and an agreed volume band.
Yes, and most customers do. Each line keeps its own MOQ and its own production lead time, and we schedule the slowest line so that the whole order can ship together. The packing list shows every line separately with its HS code, quantity, net and gross weight and carton count, which keeps destination clearance and any letter of credit presentation straightforward.
Yes. We open new accounts regularly, including companies importing electronics or hardware for the first time. We are a B2B supplier, so we ask for a company name, a delivery address and a contact who can approve the specification. First orders are usually settled in full before shipment; from the second order the standard T/T 30/70 structure applies. If you need help with the paperwork at your end, say so at quotation stage and we will set out what your broker will need from us.
Products & Specifications
Catalogue lines, custom parts, and the technical information that sits behind them.
Both. A large share of what we ship is built to a customer drawing. Send 2D or 3D data (PDF, DWG, DXF, STEP, IGES) or a physical sample, and we return a manufacturability review, a price and a lead time. Where a feature on the drawing will be expensive, slow or unreliable to produce, we say so and propose an alternative before the quotation is issued rather than discover it at first-article approval.
Material and grade, critical dimensions and tolerances, surface finish, quantity per order and per year, packaging and labelling requirements, any marking or serialisation, the target price if you have one, and the destination. Where the part has to meet a standard — IEC/EN 62368-1 for a power supply, GB/T 5237 for an extrusion, AEC-Q100 for an automotive IC — name it, and we will quote to that standard and document the test evidence that comes with it.
No. They are indicative B2B reference prices in quoted per project EXW Hong Kong, for the base grade stated, and they are reviewed quarterly. Final pricing depends on quantity, material grade, tolerance, finish, packaging, certification and delivery term, and it is confirmed only in a written quotation. The complete reference list is published on Pricing & Terms so that you can budget before you contact us.
Yes. We manage tooling, moulding, silk-screen or laser marking, retail packaging, printed manuals, barcodes and carton artwork, and we hold the signed golden sample that production is checked against. OEM and ODM projects are run from Kwai Chung with a named contact, weekly progress reports and photographic evidence at each milestone. The scope and the approval steps are described on OEM & ODM.
Products are sourced from ISO 9001 certified factories and ship with RoHS 3 and REACH SVHC declarations. Power adapters and chargers are available with CE, ENEC or UL listings depending on the range, and the factory test reports are passed through where they exist. Vemlora Limited is a trading company and not a certification body, so we supply supplier-level and product-level documents and never describe the company itself as certified. See Quality & Compliance and Certificates.
For most ranges, yes: connectors, cable assemblies, gaskets, cable glands and fasteners can all be ordered as their own lines, which is useful for service stock. Where a spare exists only as part of a parent assembly, we say so at quotation stage so that your service-level planning is based on what is actually available rather than on an assumption.
Samples, MOQ & Tooling
What it costs and how long it takes to approve a part before committing to volume.
Yes. Catalogue samples are normally 1–5 pcs and are dispatched by express within 3–7 working days where the factory holds stock. Samples are charged on a sample basis plus freight, and on most orders above the minimum quantity the sample cost is credited against the first invoice. Custom samples are quoted individually because they carry setup and material cost that cannot be amortised over five pieces.
Machined and fabricated parts take 10–18 days. Parts that need new tooling take 3–5 weeks including the trial shot and any dimensional report. Two sample rounds are included in the development budget; further rounds are charged at cost. Mass production is released only after you approve the golden sample in writing, and any change you request after that approval is treated as a new revision.
Often, yes. The volume tiers start at 3 × MOQ (about 5 %), continue at 10 × MOQ (about 12 %) and reach up to 20 % at 25 × MOQ or under an annual volume commitment. If you need less than the stated MOQ, the usual trade is either a small-lot premium of roughly 8–15 % over the MOQ price, or amortising the tooling and setup cost into the first order. Both are quoted openly so that you can compare them.
Where you pay for the tooling, you own it. Ownership, storage location, maintenance responsibility and the buy-back or transfer arrangement are documented in writing before the tool is cut. Tooling is normally held at the producing factory under our instruction, and we will arrange transfer to another supplier on request, subject to that factory's outstanding-balance rules and a condition report at the time of transfer.
Injection moulds, press dies and assembly fixtures typically run from quoted per project depending on size, cavity count, steel grade and expected life, with a lead time of 15–30 working days. Tooling is always quoted as a separate non-recurring line, never blended into the quotation, so that you can see what you are buying and what you own at the end of the project.
Yes. For every approved custom part we seal, sign and date a golden sample; where possible a second reference is kept by the factory and one by us in Hong Kong. Production is compared against that reference at first-article inspection and again at pre-shipment inspection. Samples are retained for 24 months after the last shipment of the part, which covers the great majority of service and warranty questions.
Pricing, Payment & Currency
Payment structures, volume bands and exactly what a quotation does and does not include.
T/T 30 % deposit with the 70 % balance before shipment, against a copy of the shipping documents. We also accept L/C at sight, D/P and escrow-style milestone payments for larger or longer projects. New customers are usually asked to settle the first order in full; the 30/70 structure applies from the second order, and annual agreements can move to 30-day open account terms once a payment history exists.
Invoices are issued in USD, EUR or CNY, whichever suits your accounting, with HKD available on request. The currency and the invoiced figures are fixed when the invoice is issued, so a later exchange-rate movement does not change what you owe. Bank charges levied outside Hong Kong are normally borne by you, and where a correspondent bank deducts a fee in transit we show it on the next statement rather than absorbing it silently.
Yes. The published tiers are approximately 5 % from 3 × MOQ, 12 % from 10 × MOQ and up to 20 % at 25 × MOQ or under an annual volume commitment. Any quantity benefit is shown as a separate line on the quotation, so that comparing our offer with another supplier is a matter of reading two documents rather than reconstructing arithmetic.
The catalogue terms are EXW Hong Kong. We quote FOB Hong Kong or Shenzhen, CIF, CIP, DAP and DDP on request using current freight rates. Ocean freight is booked weekly and air or express is available for urgent components. Freight, insurance, duty and destination charges are always shown as separate lines so that you can see exactly what the delivered figure contains and where it could be reduced.
Freight, cargo insurance, import duties and taxes, destination terminal handling and clearance charges, bank charges outside Hong Kong, and any third-party testing or certification needed for a market the product was not originally listed for. Tooling and non-recurring engineering are quoted separately. Packaging beyond the standard export specification — retail-ready cartons, display units, branded inserts — is quoted per project.
Yes, L/C at sight is accepted. We review the terms before confirming the order so that discrepancies are identified while they can still be fixed, and we will tell you plainly which clauses are workable — whether partial shipment and transhipment need to be permitted, which documents the bank will insist on, and how long presentation takes. We would rather decline an impossible document set at quotation stage than present it late.
Shipping, Documentation & Customs
Incoterms, transit times, consolidation and the paperwork that has to be right the first time.
We quote EXW, FOB, CIF, CIP, DAP and DDP under Incoterms 2020. The right choice depends on who you want to control the freight, who carries the risk at each point in the journey, and whether you already have a forwarder. Tell us the destination and whether you have a broker, and we will recommend the term that creates the least administration at your end. The differences are set out on Shipping & Payment.
Commercial invoice, packing list, and a bill of lading, sea waybill or air waybill. A certificate of origin is added where the destination or your letter of credit requires one. For electronics we include the RoHS and REACH declaration pack, and a pre-shipment inspection report where one was ordered. Wooden packing carries an ISPM 15 heat-treatment or fumigation mark with the certificate supplied for destinations that ask for it.
Production runs from 7–14 days for fasteners, stampings and cable accessories to 18–26 days for HMI panels and control boards, with most electronics lines at 8–20 days. Ocean transit from Hong Kong or Yantian is roughly 28–38 days to Northern Europe, 18–24 days to the US West Coast and 12–18 days to the Middle East. Air freight is 3–7 days door to door and express courier 2–4 days.
Yes, and it is one of the main reasons customers use us. Goods from multiple factories are received into our Kwai Chung warehouse, checked against the packing lists for quantity and condition, merged into a single shipment and issued under one document set. In practice that is the difference between three customs entries and one. The process is described on the supply chain page.
Under DDP we handle clearance and pay the duty. On EXW, FOB and CIF terms your broker clears the goods and settles duty and taxes; we supply accurate invoice values, HS codes, weights, certificates and declarations so that the entry can be filed without a query. We cannot under-declare value or describe goods inaccurately, and we will decline an order that requires it — a seized shipment costs far more than the duty it avoided.
We provide indicative HS classifications for every catalogue line and note how each item should be described on the invoice, which is usually enough for a broker to confirm the entry. Final classification, duty rate and any preferential treatment rest with the importer and their customs authority, so treat our codes as guidance to be verified rather than a binding ruling. A written summary is available through Downloads & Documentation.
Quality, Warranty & After-sales
How goods are checked before they leave, and what happens if something is not right afterwards.
Every custom order starts with an approved pre-production sample. Production is checked in line, and a pre-shipment inspection is carried out to ISO 2859-1 / ANSI Z1.4 at AQL 1.0 for critical, 2.5 for major and 4.0 for minor defects, with a photographic report issued within 24 hours of the inspection. Where a defect trend appears we agree a corrective action plan with the factory and re-inspect before shipment rather than ship and argue afterwards. See Quality & Compliance.
Products carry a 12-month warranty from the date of shipment against manufacturing defects, unless a longer period is agreed in writing for a specific line. Consumables such as fuses, batteries and lamps are excluded, as is damage caused by incorrect installation, over-voltage, moisture ingress outside the stated IP rating, or unauthorised modification. The full conditions are set out in Terms of Sale.
Notify us within 7 days of arrival for visible damage, shortages or wrong items, and within 30 days for defects that are not apparent on receipt; warranty claims can be raised for 12 months. Claims are acknowledged within two business days and resolved by replacement, credit note or repair as agreed, supported by photographs and, where the value justifies it, a third-party inspection at the destination.
Yes. SGS, Bureau Veritas, TUV, Intertek and your own QC staff are all welcome at the factory. Give us about three working days' notice so that the goods are finished, packed and accessible, and we will not charge for access or for reasonable re-work of the cartons afterwards. Where the inspection finds defects we agree a corrective action plan and re-inspect before shipment.
Yes. We hold or can source spare parts for most ranges for at least 24 months after the last shipment of a model, and out-of-warranty repair or replacement is quoted at cost plus freight. Firmware updates and re-flashing are supported for control boards and HMI panels. Returns are handled against an RMA reference issued within five business days, with the fault description and the original invoice number quoted on the paperwork.
